Schedule: Monday-Friday | 8:00-4:30 or 8:30-5:00

Pay Range: $58,000-$65,000 annually

Position Overview

We are seeking a detail-oriented Prior Authorization Coordinator to manage authorization status tracking, follow up on pending submissions, and ensure timely processing within defined service level agreements. This role is focused on outbound communication, data accuracy, forecasting decisions, and keeping documentation up to date while meeting productivity and aging metrics.

This is a fast-paced role ideal for someone with strong follow-up skills, high attention to detail, and experience working with authorizations, approvals, or verification processes.


Key Responsibilities

  • Monitor authorization status dashboards and track progress through online portals and outbound calls
  • Make proactive outbound phone calls to verify processing status
  • Manage an active workload of approximately 80-90 files at a time
  • Escalate aging items according to internal workflows to meet KPI targets
  • Verify submissions are processing within required timelines
  • Provide accurate forecasts for pending approval decisions
  • Enter approvals and place orders in internal systems upon receipt
  • Maintain accurate records of interactions, inquiries, and actions taken
  • Respond to requests via phone, email, fax, chat, or mail in a timely manner
  • Perform data entry and ongoing data maintenance to support reporting and audits
  • Maintain compliance with privacy, confidentiality, and information-protection standards
  • Collaborate with cross-functional teams to improve workflows and service experience
  • Identify and support ongoing process improvements
  • Perform additional duties as assigned

Required Qualifications

  • High School Diploma or equivalent (some college preferred)
  • 2+ years of customer service or coordination experience within healthcare
  • Experience working with authorizations, approvals, verifications, or account follow-up
  • Strong knowledge of tracking statuses, deadlines, and documentation
  • Excellent written and verbal communication skills
  • Strong data entry and system navigation skills
  • Ability to multitask, prioritize, and work under deadlines
  • Strong problem-solving and analytical abilities
  • Self-motivated with the ability to work independently and as part of a team
  • Comfortable making frequent outbound phone calls
  • Adaptable and able to thrive in a fast-changing environment
  • Proven ability to identify and improve inefficient processes
